Conduct Agreement & Data

Our Members’ Event is online again this year. As with last year, sessions will be run as Zoom ‘meetings’ (rather than webinars), which means everyone can speak and share their camera if they want to. We ask attendees to agree to our conduct agreement (below) in order to keep the space safe for everyone.

We will be recording some sessions so that people can watch them at a later date if they can’t attend. We will not be livestreaming any sessions. In Zoom meetings, if you turn on your camera/microphone to speak, you may appear on the recording. We will let you know which sessions are being recorded. Read more in the Data section (below).

Conduct Agreement

NSUN has a zero tolerance policy on harmful or derailing behaviour in our spaces. Please find below the conduct agreement (available here on our main website) that all attendees of online NSUN events must agree to before registration is approved:

We want virtual NSUN spaces to be safe, welcoming, and inclusive. Harassment, hate speech, and inappropriate behaviour of any kind, verbal or in the chat/Q&A, will not be tolerated.

We reserve the right to immediately remove any attendee we consider to be in breach of this conduct agreement. This includes anyone making racist, sexist, homophobic, transphobic, ableist, or otherwise discriminatory, offensive, or hateful remarks.

Removed participants will not be able to re-join the session, or, if applicable, join any of the rest of the sessions in a day or series of events. In order to avoid the derailing of sessions we will not enter into conversations around why conduct was deemed inappropriate in the sessions themselves.

Your Data and Information

Information you provide while registering for sessions at the Members’ Event is collected and processed in line with NSUN’s Privacy Policy. We will use your contact information to process your registration application and to send you details and joining links for sessions.

By participating in sessions, your name may be visible to other attendees. If you do not wish for your name to be on display during sessions, you will need to change it on Zoom before joining.

Some sessions will be recorded (we will specify which). Recordings do not show chat/Q&A messages but may include the mentioning of names of attendees who ask questions. By registering you agree to your name being mentioned if you ask a question on Zoom on the day, as questions are selected and read out verbally by facilitators for accessibility reasons. We are able to edit the audience discussion sections out of recordings if requested by a participant.

(Relevant to Annual General Meeting only, if applicable): We temporarily and securely provide personal information from our database to our voting service, Choice Voting, to allow members to vote on the AGM motions. We require them to protect your information from loss, misuse, and unauthorised access in the same way we do. We do not share your information with anyone else or use it for any other purpose.
